Payroll Outsourcing Thailand: Payroll Handled by a Team That Understands Both the Numbers and Your People

Payroll Outsourcing Thailand: Your People Stay Yours, the Payroll Work Moves to Our Team

Payroll calculation, statutory filings, bank files and payslips, finished every month on a calendar we agree in advance, by a team that runs Thai payroll every day. Thai and foreign employees, in Thai or English.

1. How our payroll outsourcing service works

Your company remains the employer. Nothing changes for your employees, their contracts or their manager. What changes is who does the calculation, the paperwork and the filings every month.

Stays with you

  • Employment contracts and your name as the employer
  • Hiring, salaries and benefits, your decisions
  • Send the monthly inputs, then review and approve before anything is paid

Moves to our team

  • Payroll, tax, social security, Employee Welfare Fund, provident fund
  • Payslips, bank file and every report
  • Monthly and yearly filings, registrations for new hires and leavers

From 1 October 2026 the Employee Welfare Fund contribution starts, 0.25% each from employer and employee. Our team calculates, reports and files it alongside social security. Nothing extra for you to set up.

2. What our payroll service covers: what our team does every month

Net payroll calculation

Regular run for every employee from your inputs: hires, leavers, overtime, bonus, deductions. Withholding tax, social security, provident fund and Employee Welfare Fund included.

Off-cycle runs

Bonus, 13th month, or items that arrive after the cut-off, run as an extra cycle.

Tax and every fund

Income tax, social security, Employee Welfare Fund, provident fund, employee and employer sides.

Bank file

In your bank's format, one file per run, ready to upload.

Payslips

Electronic payslips to every employee on pay day, as PDF by email, or through an employee app if your company chooses to use one.

Example of a payslip screen in the employee app

Filing

PND 1, SSO 1-10, Employee Welfare Fund, provident fund report, within the deadlines.

3. Reports, year-end and payment on your behalf

Monthly reports

  • Payroll register and variance report against last month
  • GL report for your accountants if needed, plus optional reports such as headcount, turnover, reconciliation and leave

Yearly

  • Withholding tax certificates (50 Tawi) for every employee
  • PND 1 Kor and Kor Tor 20 Kor
  • Social security registration for new hires and leavers, including foreign employees (tax ID, social security registration, hospital selection)

Payment on your behalf (optional)

If you prefer, our team releases every payment and you approve one amount a month.

  • Net salaries to every employee
  • Social security and Employee Welfare Fund
  • Withholding tax (PND 1) and provident fund
  • Yearly: Kor Tor 26 and Kor Tor 25

Or keep payment in-house: we prepare the bank file for you to upload, or upload it for you under a power of attorney.

4. Your side is three steps a month

  1. 17th of the month

    Send the changes

Hires, leavers, overtime, bonus and deductions, by email or through a system.

  2. 20th to 23rd

    Approve

Check the payroll register and variance report, ask anything, then approve. Nothing is paid before this.

  3. Month end

    Release the money

Upload our file to your bank, or let our team pay on your behalf. Funds must be in 4 to 5 working days before pay day.

Everything else is done by our team, on the payroll calendar we agree at the start.

5. Meanwhile, our payroll team does these five

  1. 17th to 18th

    Calculate

Net pay, tax, social security, welfare fund and provident fund for everyone.

  2. 18th to 19th

    Send reports

Payroll register and variance report to your HR for review.

  3. 24th to 27th

    Prepare payment

Bank file in your bank's format, or the disbursement if we pay for you.

  4. 30th

    Payslips

Payslips to every employee, reports for your files.

  5. By the 15th of next month

    File and pay statutory

PND 1, SSO 1-10, welfare fund, provident fund.

Grey cells are non-working days. Public holidays go into the real calendar when we start. You can start in any month of the year: we load year-to-date figures for every employee, then run a parallel calculation against your latest cycle before the first live run.

7. Why companies hand their payroll to this team

One dedicated payroll officer

Every client has one person who knows your structure. Ask directly, no re-explaining every month.

Parallel run before going live

In the first month we calculate against your latest cycle until the numbers match, then start the live run.

New rules applied in the right month

The team tracks every change that touches payroll and tells you in advance what to prepare, such as the Employee Welfare Fund from 1 October 2026.

Salary data kept away from colleagues

Access is limited to the team responsible, and you decide who approves.

8. Seven answers, and we can send your quotation

  1. How many employees?

On payroll each month, and how often people join and leave

  2. How many entities?

Companies running payroll, same pay date or not

  3. What scope?

Monthly calculation and filing, or add year-end and registrations

  4. Who releases payments?

You with our file, or our team on your behalf

  5. Do you want a system?

An online portal for payslips, leave and claims (sourced separately), or PDF payslips by email

  6. Which pay cycle?

Monthly, any bonus or 13th month

  7. How is payroll run today?

Who does it, which system, what can be exported

You then receive a quotation, a set-up plan and a draft payroll calendar.

Payroll outsourcing FAQ

We have fewer than 10 employees. Can we use this service?

Yes. One core client group for this service is foreign companies newly set up in Thailand with only a few employees.

Salary data is confidential. How is it protected?

Access is limited to the team responsible for your account, and you decide who approves the monthly report. Moving payroll outside the company also keeps salary data away from colleagues.

Can we start mid-year, or do we need to wait for a new tax year?

Yes. We load year-to-date figures for every employee first so cumulative tax and social security stay correct, then run a parallel calculation against your latest cycle before going live.

Are year-end documents like PND 1 Kor, 50 Tawi and Kor Tor 20 Kor included?

Yes. We prepare the full year-end set, summarised so your accountants or auditors can use it immediately.

We are a foreign company. Can everything be in English?

Yes. We work with foreign clients regularly: all reports and communication can be in English.

Do we need a payroll system or an employee app?

No. The core service delivers PDF payslips by email and takes your monthly inputs by email. If you want employees to view payslips, submit leave and claims through an app, we can source a system for you separately.

Can you pay salaries on our behalf?

Yes. Three options: we prepare the bank file and you upload it, we upload it for you under a power of attorney, or we release all payments after you transfer the total ahead of pay day on the agreed calendar.

Do you handle foreign employees?

Yes, from tax ID and social security registration and hospital selection through to every yearly document for each foreign employee.

What about a bonus or an item that arrives after the cut-off?

It runs as an extra cycle, announced ahead on the calendar.

Do we need to prepare anything for the Employee Welfare Fund?

No. From 1 October 2026 our team calculates, deducts, files and reports it together with social security every month.
